We are looking for an experienced Office Manager who is comfortable with a fast-paced, high-pressure environment. Your primary responsibilities will be to supervise daily operations, oversee all office activities, including line management duties.

The ideal candidate will have at least 5 years + experience in office / operational management, great organisational skills and enjoy working in a quick-paced environment.

Responsibilities for the role ofOffice Manager/Senior Administrator

Administrative

Responsible for the administration team workload, output, drop box and filing systems.
Typing of letters, reports and financial documentation. Database and record management.
Booking and confirmation of meetings for the 2 Directors.
First point of contact for new and current clients when they visit the office.
Responsible for GDPR regulations and follow Anti Money laundering regulations
Deal with customer enquiries and complaints where necessary.
Liaise with solicitors and the Sales Progressor / Client Liaison Manager to manage all client requirements.
Responsible for the office layout and maintenance of supplies of stationery and supplies for the sales manager.
Maintain the condition of the office and arrange for the necessary repairs when required.
Arrange regular testing for electrical equipment, intruder alarm, fire extinguishers and safety devices.
Responsible for cleaner schedules and payments, arrange reviews of energy bills and office insurances including employer’s liability.
Manage the printer lease and servicing / repairs and negotiate favourable terms after the lease is ready for renewal.
Deal with any IT issues and liaise with the IT company currently on retainer to fix any problems.
Manage office moves when necessary and Office key holder.
Accounts Administration

Liaise with the accountant for monthly payroll and petty cash submission.
Liaise with the management team on monthly commissions for the sales team.
Responsible for recording accounts payable and working with the accountant for year-end accounts and VAT.
Record office expenditures and manage the yearly/Monthly budget.
Raising of invoices and receipts for client payments, agents’ fees.
Managing the sales summary and provide monthly forecasts.
HR Administration

Provide Directors with statistics for staff appraisals, to manage performance and discipline staff.
Review and update health and safety policies and ensure they are observed.
Record Staff Leave / Sick Leave.
Essential computer skills

You will be required to use a range of Microsoft programmes at an advanced level, including e-mail, excel spreadsheets and databases, word and PowerPoint to ensure the efficient running of the office.
